The Hayansh Academy – Teacher's Terms and Conditions

1. Professional Conduct

• Teachers must maintain punctuality and start/end classes on time.
• Teachers must ensure they are conducting classes from a quiet, professional environment — not from cars, public places, or any setting that lacks proper internet connectivity, background setup, or appropriate camera placement.
• A respectful and encouraging environment should be maintained with students and parents.
• Teachers are expected to avoid any personal promotion of services outside the academy to enrolled students.
• Proper dress code and professional presentation are expected during online classes.
• Teachers are not allowed to share their personal contact numbers with parents/students. All communication must go through the academy.
• Teachers must keep their video ON throughout the session when students are online.

2. Class Management

• Teachers must ensure every student receives fair attention during classes.
• In group classes, students will be attended to on a rotation/first-come-first-serve basis, with clear communication.
• Classes must be conducted using Google Meet, ensuring camera and audio quality are clear.
• Teachers should encourage students to stay on mute (unless speaking) to avoid background noise.

3. Rescheduling Policy

• A teacher is allowed to reschedule up to 2 classes per individual student in a Cycle (8 or 4 sessions).
• Rescheduled classes must be conducted within the following regular session weeks, ensuring they are completed as part of the same 8 or 4 sessions cycle.
• The academy’s pay structure is based on an 8 or 4 classes cycle per student. Therefore, any missed or rescheduled classes must be covered within the subsequent weeks of that same cycle before payment for the full cycle is processed.
• Students will proceed with their next payment cycle only after completing their opted 8 or 4 scheduled classes.
• If a teacher fails to conduct the rescheduled class within the allowed time frame, payment for those missed classes will be cancelled.

4. Public Holidays

Public holidays declared by the Academy are treated as cycle pause days. Teachers are not required to conduct classes on such days and may observe the holiday.

Classes falling on such days are not conducted and the cycle shall be shifted forward accordingly.

No session shall be considered lost or consumed due to an Academy-declared public holiday. The missed class will be conducted on the next regular scheduled day and time as per the student’s agreed timetable and the teacher must ensure completion of the full cycle sessions (8 or 4, as applicable).

These sessions are part of normal cycle completion and:

• Are not considered paid leave
• Are not treated as additional or extra classes
• Are not counted as rescheduled classes under the rescheduling limits defined in Section 3

5. Fees & Payments

• Teacher payment will be based on the pre-agreed hourly rate.
• As per the updated academy policy, payments will now be processed after the completion of one full cycle (8 or 4 sessions) for each student, instead of on a monthly basis.
• Payment will be released only after verification of attendance records confirming the completion of all sessions in the cycle.
• Teachers should not directly handle any student fee matters; all fee collections and financial transactions will be managed exclusively by The Hayansh Academy.

6. Class Format & Materials

• Teachers should prepare lesson plans in line with the academy’s curriculum and student progress.
• Homework, practice logs and recordings must be shared with students only for academic purposes.
• Teachers are not permitted to share academy material outside without approval.

7. Communication

• All official communication with students/parents must be routed through the academy when it relates to fees, policies or complaints.
• Teachers can communicate directly with students for academic purposes (homework, practice instructions, etc.).
• Any disputes or issues should be reported to the academy management immediately.

8. General Responsibilities

• Teachers must encourage consistent practice and discipline in students.
• Teachers should help identify talent for academy concerts, events or competitions.
• Teachers must represent the academy positively at all times.

9. Disciplinary Policy

• Breach of trust, unprofessional conduct or attempts to poach students outside the academy will lead to termination.
• Consistent violation of academy policies may result in withholding payments or ending the teacher’s engagement.

10. Advance Notice for Adjustments

• Teachers must inform the academy at least 2 weeks in advance for any planned long breaks, schedule changes or adjustments.
• This ensures the academy has sufficient time to make necessary arrangements without disrupting student learning.
• In case of genuine emergencies (such as health issues or unforeseen personal circumstances), teachers should notify the academy as soon as possible and exceptions will be considered on a case-by-case basis.

11. Teacher Exit Policy

• Teachers who wish to discontinue their association with the academy must provide a minimum of 4 weeks’ prior written notice.
• During this period, teachers are expected to complete all scheduled classes and assist in a smooth transition for students.
• Failure to provide sufficient notice may result in withholding of pending payments.
• Teachers are not permitted to directly transfer students to private arrangements outside the academy after exit.
